Info about what the Operations & Supply Chain Administrator role entails
Broad, cross-functional administrative role supporting Project Managers and the Programme Manager with procurement, materials, freight/customs and delivery activity. As the Operations & Supply Chain Administrator your key interfaces will include external fabricators/suppliers, Project Managers, Procurement and the Programme Managers, so strong coordination and follow-up will be important.
A major part of the role will be Administrative helping move components to the global network, ensuring bought-in parts are progressed, kitted and shipped on time.
The role will also provide procurement support, working closely with the Buyers and helping to chase suppliers and resolve material availability issues. The Bid Team may also need administrative support obtaining supplier quotations for bids and proposals.
The environment is broad rather than siloed, so the successful person will need to be comfortable switching between project admin support, procurement, logistics, inventory and supplier coordination.
Essential Requirements of the Operations & Supply Chain Administrator role
- Good practical knowledge of freight and customs clearance, with experience supporting the movement of components internationally.
- Experience progress chasing purchased components and coordinating with suppliers to keep materials moving on time.
- Experience helping to manage free-issue inventory, including preparing/kitting components and coordinating shipment to external fabricators.
- Strong Excel skills — confident using formulas, trackers and building or improving spreadsheets/tools where needed.
- Strong organisational skills with the ability to manage multiple priorities across procurement, inventory, freight and project activity.
- Proactive, adaptable and comfortable working in a broad role where priorities can change quickly. You will take initiative, chase actions and see issues through without needing constant direction.
Desirable Requirements of the Operations & Supply Chain Administrator role
- Exposure to small project management / coordination, with the ability to take ownership of straightforward projects.
- Experience supporting procurement / purchasing activity.
- Experience implementing or improving processes, particularly where systems or ways of working need to be created or formalised.
- Comfortable working in an environment where the ERP system may not be fully utilised and manual processes / spreadsheets still play a significant role.
